Many med spa memberships let clients bank their monthly payment as credit toward future treatments. It is a great retention tool. It also creates one of the largest hidden liabilities in the business.
What a banked balance really is
If a member pays $150 a month and does not book a treatment, they now hold $150 of credit. You received cash, but you still owe them $150 of services. Across hundreds of members over many months, that balance can grow very large.
How it distorts profit
If membership payments are recorded as revenue when received, every unused credit looks like profit. The bigger the bank, the bigger the overstatement. Owners may then:
- Hire staff the business cannot support
- Take distributions from cash that is owed in future services
- Pay tax on income that has not been earned
- Value the business too high when planning a sale or a loan
What happens when members redeem
When members eventually book, you deliver treatments that use product and provider time but bring in no new cash. If a large share of members redeem at once, for example before a credit-expiry date or after a price change, you can face a cash crunch even while the schedule is full.
How to manage it
- Record membership payments as a liability until credit is used. Move amounts to revenue as treatments are redeemed.
- Reconcile monthly. The liability in your books should match the total credit balance in your membership software.
- Watch the trend. A balance growing faster than redemptions means members are paying but not visiting. That can signal a future cash demand, or a retention risk if those members later cancel.
- Review your terms with your attorney, including rollover limits, expiry and what happens to credit when members cancel, in line with your state's rules.
- Keep cash in reserve for a meaningful share of the outstanding balance.
