A good dashboard is short. It shows the handful of numbers that explain how the business is doing, so you can see problems early and act. Here are twelve that cover a med spa well.
Revenue and margin
- Net revenue: after discounts and refunds, compared with last month and last year.
- Gross margin: net revenue minus product cost and provider pay, as a percentage.
- Gross margin by service line: neuromodulators, fillers, energy, skin, retail.
- Average ticket: net revenue per completed visit.
People and capacity
- Contribution by provider: revenue minus product used minus compensation.
- Utilization: booked hours divided by available hours, by provider and room.
- No-show and late cancellation rate: and the estimated contribution lost.
- Payroll as a percentage of revenue: split between providers and support staff.
Clients
- New clients and rebooking rate: how many new clients came in, and how many booked again within 90 days.
- Membership health: active members, monthly churn and outstanding credit balance.
Cash
- Cash balance and 13-week forecast low point: the lowest balance expected in the next quarter.
- Prepaid liabilities: total owed in packages, memberships and gift cards.
Make it visual and timely
Each KPI should show the current value, the trend and a simple signal when it moves outside your target. Weekly figures for capacity and cash; monthly for margins and payroll.
Review on a schedule
A dashboard only helps if someone looks at it. Ten minutes every Monday for the weekly numbers and an hour a month for the full set is enough for most clinics.
Add, but sparingly
As your clinic grows, you may want more detail, such as margin by location or marketing cost per new client. Add new KPIs only when they lead to decisions you will actually make.
