Planning for Estimated Taxes Without Cash Surprises

Set aside tax money as you earn it, so estimated payment dates never drain your operating cash.

Estimated tax payments are a common source of cash stress for profitable clinic owners. The money was earned months ago, but it is due in a lump sum. A simple routine removes the surprise.

Understand what is due and when

Work with your CPA to estimate your tax liability for the year, based on your entity type and expected profit, and confirm the payment dates that apply to you. Put each due date on the calendar and in your 13-week cash forecast.

Set aside tax money monthly

Each month, after you close the books, transfer a set percentage of profit to a separate tax savings account. Your CPA can suggest the percentage based on your situation. The key is consistency: money set aside steadily is far easier than finding a large sum at the deadline.

Adjust during the year

Profit rarely matches the plan exactly. After each quarter, compare actual profit with the estimate and adjust the set-aside percentage and the remaining payments with your CPA.

Watch for these traps

  • Treating a profitable month's cash as available for distributions without reserving tax
  • Large package and membership sales inflating cash-basis profit and the related tax estimate
  • Forgetting state and local taxes in addition to federal
  • Equipment purchases changing the expected tax position, without updating the plan

Keep tax money separate

A separate account for taxes, and another for sales tax collected, keeps operating cash honest. When you look at your main account, everything in it is genuinely available to run the business.

Review with your CPA before year-end

A planning conversation a couple of months before year-end lets you understand your position and consider any decisions while there is still time to make them.
