Opening a second location is a major step. It also makes your numbers harder to read: shared staff, shared marketing and a new clinic that may lose money while it ramps up. Setting up reporting before you open saves a lot of confusion later.
Track each location separately
Use location tags, classes or separate accounts in your accounting software so revenue, product, provider pay and location-specific costs are recorded by location. Map your POS so every sale is tied to a location.
Decide how to handle shared costs
Some costs serve both locations: owner time, marketing, central admin, software and accounting. Options:
- Keep them in a central "shared" bucket and show each location's results before shared costs.
- Allocate them on a simple, consistent basis, such as share of revenue.
The first approach is often clearer for judging each location's performance.
Report three views
- Each location's P&L before shared costs
- Shared costs in total
- Consolidated results for the whole business
Track the ramp-up
For the new location, track monthly bookings, utilization, revenue and contribution against your opening plan. Compare it with the first location's early months, not with its current performance.
Plan cash carefully
A new location usually needs cash for months before it covers its own costs. Build a cash plan that includes build-out, equipment, hiring ahead of demand and marketing, plus a reserve for a slower ramp-up than expected.
Watch the original location
Owners often shift attention, staff and marketing to a new clinic. Keep reviewing the original location's KPIs so its performance does not slip unnoticed.
Keep systems consistent
Use the same chart of accounts, service categories, pricing logic and reporting format at both locations, so comparisons are fair.
